Certification Letter

It is always important in ensuring that a piece of information or detail is correct especially when it is to be shared with other people. One usual way to be sure a specific piece of information, detail, or appointment is accurate and true is through the use of a letter of certification. Certification is a common way of verifying information publicly.

What is a Letter of Certification?

A certification letter is a written document of acknowledgment or verification that a piece of information or details is true. It is also a letter written to verify or certify information at hand in the process of applying for something or having completed a task or training. It could include details or information that includes; dates, titles, and names of individuals involved in the situation or event being certified. Certification is a formal attestation or confirmation of certain attributes of an object, person, or organization, whereby a written assurance is provided by an independent body that a product, service, or system in question meets required standards. For instance, while undergoing a program or course that enhances your personal and technical skills, upon successful completion of the said program or task a certificate is handed to the participant or individual who certifies that such individual is qualified and competent to practice in whatsoever area they specialized on during the program.

How To Write A Certification Letter

A certification letter can be written following these procedures;

  • Date: Ensure to include the date at which the letter is been written.
  • Subject: This involves giving a clear summary of the purpose of the letter. The subject gives a clear description of what you are giving clarity or confirmation on and makes your recipient understand the purpose of the letter by reading the subject line of the letter.
  • Salutation: Use a proper salutation for the recipient. You can use “Dear” when addressing the person by name or “To Whom It May Concern “or “To whomsoever it may concern” when you don’t know the recipient by name.
  • The body: Here you state the purpose of the letter in detail, you provide needful information and details that need verification, and other relevant details and documents in case of evidence should be included in subsequent paragraphs and provided for reference purposes.
  • Complimentary close: Always ensure your letter ends in a polite manner. In this section of the letter, you express gratitude to the recipient for reading your letter and also offer to provide any additional information or answer they may need regarding the situation or event for certification.
  • Sign: Sign off formally using “Sincerely” and include your full name.
