Young Women Christian Association Kenya – A not-for-profit making and volunteer membership organization exists to develop the leadership and collective power of women and girls to achieve social and economic empowerment, human rights, health, security, dignity, freedom, justice, peace and sustainable environment for all humanity.

We are recruiting to fill the positions below:

  1. Monitoring and Evaluation Officer
  2. Senior Program Officer
  3. Branch Coordinator

Monitoring and Evaluation Officer

Job Responsibilities:

  • Responsible for developing M&E framework and plans for programs
  • Responsible for coordinating monitoring and evaluation activities for projects
  • Managing the program database system
  • Ensure proper data collection, entry and analysis procedures, storage and appropriate use of data to track program performance
  • Responsible for capacity building and supervising teams, and other officers for compliance to M&E requirements
  • Supporting quality improvement teams and setting up a system for quality assurance and Improvement
  • Responsible for documenting and disseminating M & E results, findings and sharing lessons learnt with Staff and relevant stakeholders
  • Responsible for the preparation of project reports for submission to the Head of Programs, project team, partners, and stakeholders.

JOB SPECIFICATION AND OTHER INFORMATION RELATED TO THE JOB

Level of Education/Academic qualification

  • Bachelor’s Degree in a relevant field from a recognized institution

Other Requirements

  • Relevant skills in research statistics, critical and analytical thinking, Good judgment and problem solving skills are critical.
  • Field experience in data collection, analysis & quality assurance.
  • Good understanding of M and E scopes and application to programmatic activities
  • Excellent written and verbal communication skills
  • Fluency in both written and oral English and Kiswahili
  • Team work

Senior Program Officer

Job Responsibilities:-

Project Management

  • Oversee general management of entire Agreement with USAID
  • Lead development of annual work plans and budgets in collaboration with the project team and relevant government counterparts to ensure accountability, accuracy and timely reporting of all project activities and financial deliverables.
  • Oversee project deliverables, ensuring report preparation of high quality and timely submission.
  • Oversee technical implementation and administration of the project
  • Ensure compliance with USAID rules and regulations
  • Serve as the primary contact for information on the progress and current status of all activities under the USAID project
  • Manage preparation and presentation of work plans, M & E plans and all reports
  • Ensure the activity is coordinated and implemented in an effective and cohesive manner.
  • Create a collaborative, high participatory work environment that allows staff and activities to adhere to risk-management systems and adopt quick response to complex and high risk changing environments

Technical

  • Responsible for the overall technical direction of the project ensuring compliance
  • Liaise with other relevant stakeholders, government, local and international
  • Ensure optimal use of all resources entrusted to you
  • In consultation with the supervisor, you will serve as the primary interlocutor with USAID
  • Design, manage and implement programs
  • Develop and implement proposals and offer guidance in M & E reporting

Senior Coordination and Representation

  • Manage teams across Kiambu, Meru and Kilifi counties and provide technical assistance and back stopping when required.
  • Represent project in all technical, policy and programmatic fora.
  • Ensure documentation and dissemination of findings, impact, innovations and lessons learnt

Consortium and sub awards management

  • Oversee local sub-grants and short-term consultants to ensure monitoring and quality of deliverables
  • Align with donor-specific needs, donor compliance and implementation plans
  • Manage both internal and external relationships to support team work

Human Resource Management

  • In liaison with COP, ensure that recruitment and on-boarding of project teams, roles and responsibilities are properly assigned to facilitate implementation of the project.
  • Uphold credibility of the Organization through commitment to YWCA Mission and Vision as well as adherence to YWCA policy and procedures, code of conduct and compliance to anti-harassment, safeguarding, OSH, PSEA policies among others
  • Perform other duties that may be assigned from time to time.

JOB SPECIFICATION AND OTHER INFORMATION RELATED TO THE JOB

Level of Education/Academic qualification

  • Minimum Degree or higher in the field of Social science, Gender, international development or a related technical field from a reputable university.
  • Experience in leadership positions involving direction over relevant gender, governance or SGBV programs.

Other Requirements

  • At least 5 years of relevant professional and progressive experience in managing governance projects in Kenya, development assistance, including field experience in governance reforms, general advocacy, peace building/conflict, and civil society programs.
  • Prior experience in supervising long-term field staff and short-term experts. Proven record of excellent management, leadership, and decision-making skills.
  • Demonstrated ability to think strategically and navigate sensitive terrain.
  • Familiarity with USAID programming, rules and regulations; experience in managing USAID funded programs in Kenya and/or Africa is desired.
  • Extensive networks within Kenyan civic and political sectors. Experience working with youths-centered activities preferred.
  • Demonstrated experience in new business development (scoping, consortium building, proposal writing, budgeting among others.
  • Excellent oral and written communication skills in English.

Branch Coordinator

Field of duties and responsibilities

Overall Branch Management

  • Ensuring implementation of strategic plans and organizational policies and procedures
  • Public relations and liaison with key stakeholders
  • Organizing Membership recruitment drives to increase membership in the Branch
  • Increase visibility of Branch using various channels
  • Overseeing Branch operations by monitoring progress of the implementation of annual plans
  • Resource mobilization for the Branch
  • Represent Nairobi Branch and YWCA as a whole in inter-agency coordination meetings, cluster meetings and NGO Consortium meetings

Program Management and Oversight

  • Working in collaboration with the Program Team/s, to ensure that Program implementation is managed closely through the development of structured work plans, indicator tracking and monitoring plans.
  • Ensure fulfillment of the budget expectations. Ensure project expenditures are monitored and corrective action is initiated and tracked where required.
  • Convene grant review meetings where program performance is reviewed and corrective action taken as needed to promote program integration
  • Lead comprehensive program reviews including mid-term reviews, final evaluation and assessments
  • Provide leadership to ensure timely and high quality progress reports as the YWCA and donor guidelines
  • Provide proper representation in cluster and other coordination forums at national and regional levels
  • Build capacity of program staff in the areas of program development

Financial Management

  • Ensure the implementation of the Finance department’s strategic plan in relation to the overall organization’s Strategic Plan
  • Planning and coordination of the branch activities in liaison with Finance department
  • Improving the financial stability of the Branch through income generating activities
  • Carry out Business Development duties
  • Ensure proper management of the Staff Payroll

Staff Management

  • Implementation of the Human Resource Policy in conjunction with the Human Resource Office
  • Acting as a link between branch staff and Head office
  • Implementation of the Performance Management and ensure that staff are motivated to perform
  • Coordinate with Human Resource Office to ensure that appraisals are done in a timely manner
  • Manage investigations, disciplinary and grievance matters in conjunction the Human Resource Office
  • Leave management for branch staff

Carry out any other duties and responsibilities which may be assigned from time to time.

JOB SPECIFICATION AND OTHER INFORMATION RELATED TO THE JOB

Level of Education/Academic qualification

  • Bachelor’s degree in Social Sciences from a recognized university Graduate qualifications in studies related to Governance and social services will be an added advantage

Other Competencies/abilities/skills required

  • In-depth understand causes of poverty vulnerability and gender inequality in Kenya with knowledge of political, Social, Economic Social and technological environment is desirable.
  • Experience working in the informal settlements/resource limited settings an added advantage
  • Experience working with people with disability and the youth.
  • Project Management, Advocacy, Planning, Organizational skills and Grants management skills
  • Computer skills, Design and delivery of capacity development methodologies skills
  • Fundraising and Report writing skills
  • Strong communication and interpersonal skills

Relevant Job experience

  • At least Three (3) years post qualification in social science related work in recognized organizations.
  • 2 years’ experience in project management, experience in partnership building, capacity building, networking and advocacy.
