KRA Pin: What is it about?

A PIN is a Personal Identification Number used while doing business with Kenya Revenue Authority, other Government agencies, and service providers. To begin with, before you embark on KRA pin certificate registration for your company, you need to understand that the following are very crucial to your registration process. As such, before beginning anything, ensure that you have the following for the registration for pin KRA Kenya:

  • A copy of the Certificate of Incorporation for your company.
  • The Memorandum of Association and Article of Association for your company.(This one is not mandatory).
  • KRA pin for one of the company’s directors.
  • Company details such as the company’s physical address, the company’s email address, and the company’s phone number.

The process for registration for a KRA pin in Kenya for your company begins by visiting the KRA PIN online registration portal; KRA Itax online portal. Once you get to the Itax online service area, you will see a prompt asking you if you would like to apply for a new pin. You have now entered the e-registration portal. Step 1:

This is the beginning of your registration for the KRA pin for your company.

  1. Here, you shall be required to select taxpayer type. Choose ‘Non Individual’ as this applies to KRA pin certificate registration for companies.
  2. Next, you shall be required to choose your mode of registration. You are required to pick between the online mode or the upload mode. Pick the online mode as you shall be completing your KRA Kenya pin registration online.
  3. You may then click ‘Next’ to move to the next page, or ‘Back’ to go back to the main page.

Step 2: Filling in Section A (Basic Information)

This is the first sub-section that involves entering business income details.

  1. First, select your business type from the dropdown list. This list provides the following choices under ‘Business Type’: Company, Non Government Organization, International Organization, Diplomatic Organization, Government Institution and ‘Others’; in case your business does not fall under the former categories.
  2. Next, select your business sub-type, also from the drop down list provided.
  3. Enter the business’ registration certificate number.
  4. Enter the business’ commencement date.
  5. If the business is a company, select accounting period end month.
  6. If the business name is different from the registered name, you are now required to enter the trading or business name.
  7. In case the business sub-type is EPZ company, input the EPZ effective date.
  8. Next, select ‘Yes’ or ‘No’ for the question ‘Does your business have any branches?’
  9. If you wish to declare a legal representative, pick ‘Yes’.
  10. Now enter the legal representative’s pin. This is the end of the business income details sub-section.
  11. We now enter the principal physical address sub-section. In this sub-section, you are required to enter details such as L.R number, building, street or road, city or town, county, district, tax area or locality, and the descriptive address. All of these should be related to your company or business. Fill in all the mandatory fields in this sub-section. The mandatory fields are marked with an asterisk.
  12. Next is the principal postal address sub-section. This sub-section requires you to fill in details concerning your postal code, town, and P.O.Box. . Remember to fill all fields marked with an asterisk.
  13. Next is the principal contact details sub-section. Here, you shall enter details such as telephone number of the company, mobile numbers of the company, the company’s main email address and the company’s secondary email address.
  14. If you have alternative addresses and contact details, you may add these too.
  15. Next, you need to enter details of the company’s ownership structure. This is a new sub-section. This specific sub-section requires that you enter details such as: answer if the company you are registering is a subsidiary company, if the principal holding company resident is in Kenya, enter the holding company pin, the name of the holding company, and the country in which the holding company is situated.
  16. Next, you enter the bank account details sub-section. If you would like to declare your bank accounts for tax refunds, this sub-section allows you to do that by selecting ‘Yes’. You shall then need to enter information such as the bank name, branch, city, the account holder’s name, and the account number.
  17. Next, you enter the economy activity details sub-section. In this subsection, you shall be required to enter details such as the sector of the economy in which you are involved in, the division, group, class, sub-class, and type of the same. Add these details and move to the next subsection. You may also select ‘Clear’ to reset economic activity details.
  18. The next sub-section deals with the details of acquisition or amalgamation. You are required to select ‘Yes’ or ‘No’ when answering the question whether your business was formed as a result of acquisition or amalgamation. If yes, enter the type of bond from the drop down list. Enter the pin for the selected bond, the taxpayer name, email address, and the date. Fill all fields marked with an asterisk. Add these details by clicking on ‘Add’, or reset them by clicking on ‘Clear’.
  19. You are now done with Section A(Basic Information). You may now click ‘Next’ to navigate to the next page. Alternatively, you may click ‘Cancel’ to go back to the main page.

Step 3: Filling in Section B (Obligation Details)

  1. The first sub-section here is the ‘Taxpayer Obligation’ sub-section. This subsection includes details of: Income Tax Company, Income Tax Partnership, and Income Tax PAYE(Pay As You Earn-for employer only). If, in the first step of Section A, you selected ‘Company’ under ‘Business Type’, ‘Income Tax Company’ is enabled. If, under business type you picked ‘Partnership’, ‘Income Tax Non Partnership’ is enabled.
  2. This step is only valid if you selected ‘Value Added Tax (VAT)’. You will be required fill in the following details dealing with turnover details: amount in taxable supplies in Kenya, amount in exempt supplies in Kenya, and amount in exports.
  3. Click ‘Next’ to proceed to the next page.

  5. Select the tax obligations for which the branch is expected to file the separate return. Add the registration date. Click ‘Add’ to add these details or ‘Clear’ to get ride of the details.

Step 5: Fill Section D (Director Associates)

Section D requires you to enter details of persons associated with the business such as a director, partner, or business associate.

  1. First, enter the nature of the association, the pin of the person, the profit or loss sharing ratio. These are mandatory. Additionally, you may enter the following details regarding the person: First name, middle name, and last name, date of birth, and gender.
  2. Enter details of the person’s principal physical address.
  3. Enter details of the person’s postal address.
  4. Click on ‘Add’ to add this information, or ‘Clear’ to clear these details.
  5. Click ‘Next’ to go to the next page, ‘Previous’ to move back to the previous page, and ‘Cancel’ to go to the main page.

Step 6: Fill in Section E (Agent Details)

  1. Fill sub-section E-I with the following details regarding the tax agent authorized to submit any application on behalf of the taxpayer: PIN, agent name, telephone number, mobile number, email address, authorization date since, and authorization date upto.
  2. Click ‘Add’ to add this information and ‘Clear’ to reset authorized agent details.
  3. Fill subsection E-II with the following details regarding the intermediary agent to submit tax returns on behalf of the taxpayer: Type of authorization(All taxes or Partial), PIN, first name, middle name, last name, tax obligation(Income tax company or Value Added Tax-VAT), telephone number, mobile number, email address, authorization date since, and authorization date upto.
  4. Click ‘Add’ to add details regarding the intermediary agent or ‘Clear’ to clear these details.
  5. You may now click ‘Next’ to go to the main page, ‘Previous’ to go to the previous page, and ‘Cancel’ to go to the main page.

Step 7: Fill Section F (Estate Trust Details)

If in section A, under business sub-type you selected ‘Estate or Trusts’, then this section of the KRA new pin registration form is for you.

  1. Enter information related to the beneficiary in case of estate or trusts. This includes: age of the beneficiary, PIN, profit and loss sharing ratio, individual information (first name, middle name, last name, date of birth, and gender), principal physical address (L.R number, building, street or road, city or town, county, district, tax area or locality, and the descriptive address), and the principal postal address (postal code, town, and P.O.Box).
  2. Click ‘Add’ to add the estate trust details.
  3. Click ‘Clear’ to clear estate trust details.
  4. Compute the arithmetic operation and enter the correct result.
  5. Next, click ‘Submit’ to submit the data.

Step 8: Download The Acknowledgement Receipt
