When submitting a resume or CV for a job hiring or in respect to a job vacancy to be hired or called for an interview it is always wise to write or tender your application letter. As an application letter gives a brief summary about you, your ability, qualifications, skill, experience and even the position you are aspiring for, it tells the organization about you, your worth and what they are to expect. I would like to say “an application letter is an advocate for an opportunity or petition even in the absencial of the candidate. A well-written letter of application can project you forward and place you at the peak for hiring or consideration, as it would compel the hiring Manager to schedule or call for an interview.

What is an application letter?

An application letter which can also be referred to as a cover letter, is a document sent alongside with your resume or CV to provide more additional information about your skill, qualifications and working experience to an employer or hiring Manager of an organization or business enterprises. An effective application letter explains the reasons you’re interested in the specific organization and it identity your most relevant skills. It’s also meant to provide detailed information on why you are better, qualified candidate for the job. For clarity, it should let your employer Know the position you’re aspiring or indicating interest in, what makes you a strong candidate, why they should select you for an interview and how you will follow up.

When to write an application letter?

An application letter is written when we are either applying or making a petition, or requesting for something, it could be job, internship, loan, contract, even for transfer etc.

How to write an application letter?

To compose an effective and compelling application letter, here are the guidelines or steps to follow which includes;

  • Research the company and job opening: The more you know about the job, the more better chance you have in customizing an effective Letter. So a thorough research or background check and review on the company you’re applying for and the requirements of the position you’re applying for is of necessity. You can look for details or information like;
    • Recent awards the company received.
    • certifications,skills or knowledge that are necessary or helpful to the job.
    • The size of the company
    • The company’s culture.
    • Charitable projects the company is involved with.
    • Major accomplishments or distinguishers that makes the company outstanding from other competitors.
    • Name of the hiring manager.
    • Use professional format: This includes the basics . The letter header for every professional job application should include the following:
      • Name.
      • Phone number.
      • Email address (official email which includes your first and last name not a casual mail).
      • Date.
      • The name if the hiring Manager and title.
      • Name and address of the company you’re applying to.

You also add: Your professional title, your home address, links to professional websites, your social media accounts (LinkedIn and Twitter preferably), and your city of residence. It’s also ideal, to begin with a professional salutation such as “Dear James,” address the hiring manager by name when possible. If you couldn’t get the hiring Managers name through your research, you could use “Dear department hiring Manager” or “to whom it may concern” to address your recipent.

  • State the position you’re applying for: Here you clearly state the position you’re opting or interested in. Mention the name of the company. You could also specify where u saw the job advert or posting,it could be through a referral from a friend or a staff of the organization, through billboards,fliers,radio, television, social media. Your introductory paragraph should be powerful,irresistible and compelling. You need to write an attention grabbing introduction as it’s important to cease the hiring manager’s attention. Also you can also briefly mention why you’re the best candidate and be very specific with your statement.
  • Explain why you’re the best fit for the job: Before writing anything it’s of essence to first know what the important requirements for the roll are and which responsibility is more critical.Make concrete emphasis on your skill, strength, capacity and working experience. Also use a brief and very impactful sentence, explain why you’re the best fit for the job hiring or opening. Provide distinct details regarding your experience,skill, education or certifications. Use this part to showcase your ability and value that would flunt you as the best candidate for the job. Expressing how other jobs(your past experience) have mould,fashioned, groomed,and shapen you for the position,the value you would be adding or bringing to company or organization if given the opportunity is also a bedrock to your consideration as the best candidate for the position you’re aspiring for.
  • Summarize your qualifications: Here you mention your outstanding qualifications that makes you a worthy candidate who’s fit for the job. A brief summary on your backgrounds that highlights the most important point from your resume or CV should be provided in brief.
  • Mention why you want the job: Your future employer or organization of aspiration have needs and as such would like to know how you will be able to meet and satisfy those needs paradventure they hire you. Your comfort,convenience and how passionate you’re about the job is the primary concern of your employer,as this guarantees that you will work with them for a longer period of time. Here you can give a personal statement as to why you want the job or the position. Also give details about why you prefer and choose the company.what excites or catch your interest about the job,it could be passion,zeal or willingness and openness to try something new.
  • Include a professional closing: At this section you should express gratitude to your reader for taking out time in reviewing your letter,you can also reference your resume and any other additional information if needed. Be optimistic about your hiring,you could say words like”I look forward to the next step on the hiring process,and conclude with a professional closing” yours sincerely”,”Best regards” or “Kind regards”.
  • Add postscript about yourself: This is a special trick you can imploy to tell your hiring manager something impressive about your career,and tell them you will be happy to provide them with more details if they find it interesting.

In writing an application letter one needs to be aware about the company, their standard and policy, understand the nature of the position you’re aspiring for, make reference on your past working experience, skills, and also know what is expected of you (responsibilities) and how it will take to achieving those expectations, values you will be contributing to the betterment of the company. Always ensure you market yourself as the best fit for the job, be specific, brief and effective because it propels you for consideration if not hired.
